Responsible for maintaining data and various giving programs in the database. The assistant will administer multiple direct mail projects, all donations processing, thank you letter generation, receipting, web data updates, data cleansing and manipulation, statistical reporting and analysis, mailing list management, and donor/prospect research and relationship management, meeting setting, moves management updates, event invitations, alumni career tracking, and other tasks.

Job Description

Main tasks
  • Assist DOD in maintaining Annual, Capital and Planned Giving programs including alumni groups, e-campaigns, pledges, giving societies, focus on securing appointments with donors for the DOD, CEO, and Board Volunteers, & providing timely gift processing, receipting and recognition. 
  • Work closely with DOD and other staff to administrate fundraising strategies and integrate with school-wide and alumni initiatives. 
  • Assist ADOD with highly customized multiple direct mail appeals annually. Set up result tracking and reporting in Donor Perfect data base. 
  • Assists in organizing alumni events, preparing invitations, tracking responses & producing nametags 
  • Serves as an active prospect identifier, targeting prospects for personal visits. Makes creative connections between and among people, events, programs, and their associated circles. 
  • Oversee the daily operation of the Donor Perfect Database, tracking gift/financial and biographical information on constituents. 
  • Ensure data accuracy and integrity, including input and output, technology management, and end-user training and support. 
  • Provide support to staff by assisting with creation of reports & mailing lists, developing & implementing policies/procedures, & serving as the advancement liaison with the controller. 
  • Coordinate/plan for future data conversions/upgrades as needed. 
  • Develop & maintain efficient systems for data cleansing, data entry, gift processing, prospect research, and relationship management. 
  • Recruit and supervise student/stagiaire workers and data entry staff as needed. 
  • Provides excellent customer service, anticipating and exceeding the needs of our constituents 
  • Perform other duties as assigned. 
Profile
  • Bachelor's degree required with three years of experience in administration using a database. 
  • Advanced working knowledge of Donor Perfect, or other similar data base. 
  • Detail-oriented, with strong organizational, fundraising, analytical, and planning skills. 
  • Initiative in carrying out responsibilities, strong self-motivation &  able team member. 
  • Excellent organization skills. Ability to prioritize & manage multiple tasks and demands. 
  • Commitment to maintain confidentiality & a high degree of accuracy in alumni & donor records. 
  • Must be able to work in an environment of constant demands and frequent interruptions. 
  • Demonstrated ability to work accurately and effectively with computerized data systems. Proficiency and experience with information technology and basic accounting principles. 
  • Demonstrated ability to work effectively with people of diverse backgrounds and promote a positive working environment, spirit of cooperation and positive reactions to change and conflict resolution. 
  • Demonstrated excellent interpersonal, bilingual communication and presentation skills, both written and oral which transcend diverse audiences. 
  • Demonstrated ability to communicate effectively and relate well to students, parents, faculty, staff, and others while maintaining appropriate confidentiality. 
  • Must be able to work an irregular schedule, evenings or Saturday as needed, additional hours during peak times or as required.
