Reception and Administrative Assistant

Permanent Full-Time Position – 35 hours per week. Schedule: Monday to Friday, 8:30 a.m. to 4:30 p.m.

The National Theatre School of Canada (NTS) is currently seeking a highly organized individual who excels at multitasking and is capable of managing several files simultaneously while delivering warm and friendly customer service. Reporting to the Manager of Academic and Administrative Support, the successful candidate will work closely with various departments, students, and visitors of the School. In this role, they will play a key part in ensuring a positive client experience and delivering high-quality administrative services throughout the School.

Responsibilities

Reception

  • Serve as the first point of contact for the School, both in person, by phone, and by email;  
  • Welcome visitors and assist them with directions and general inquiries;  
  • Answer and redirect incoming phone calls;  
  • Manage emails sent to the National Theatre School’s general inbox: info@ent-nts.ca;  
  • Act as a central hub for communications and information sharing;  
  • Provide support and respond to general questions from faculty members, employees, students, and visitors;  
  • Ensure relevant information is communicated during the arrival of the security agent;  
  • Act as a resource person in emergency situations, including first aid.  

Administration

  • Manage mail, internal mailboxes, deliveries, and various supply orders;  
  • Draft, revise, translate, process, and update various texts and documents;  
  • Produce reports and lists;
  • Administer the voicemail and telephone systems;  
  • Review employment contracts for teachers and coaches;  
  • Maintain and update the School’s central database;  
  • Assist Human Resources (HR) with onboarding and welcoming new employees;  
  • Collaborate with Human Resources on internal communications and the preparation of activities and meetings according to the organizational calendar.  

Communications

  • Ensure the maintenance of internal intranet platforms for students and employees;  
  • Assist with writing, creating visuals, and distributing internal communications;  
  • Additional related tasks may be added to this job description.  

Desired Profile

  • Demonstrated experience in a similar role, supported by concrete achievements and proven results;  
  • Strong knowledge of Microsoft Office Suite, Outlook, SharePoint, and digital platforms such as Canva;  
  • As the National Theatre School of Canada is enriched by both its French- and English-speaking communities, proficiency in both French and English is considered essential for this position;  
  • Excellent ability to manage multiple tasks and files simultaneously in a dynamic environment;  
  • Strong organizational, planning, prioritization, and follow-up skills;  
  • Excellent customer service skills with a warm, professional, and courteous approach;
  • Strong adaptability, initiative, and autonomy in carrying out responsibilities;  
  • Excellent verbal and written communication skills;  
  • Creativity, resourcefulness, and independence.
