The Design Coordinator serves as a central figure in the planning, supervision, and logistics of all activities related to the execution and support of the scenographic aspects of student productions. Reporting to the Director of the Set and Costume Design Program, this person ensures clear and effective communication between design students and the heads of workshops and production.
Their main role is to plan, coordinate, and support the scenographic components of student productions (set, costumes, props), while ensuring compliance with safety and sustainability standards across all scenic practices.
This position requires a comprehensive understanding of operations, a strong sense of planning, excellent communication and organizational skills, and a deep awareness of the creative and technical dynamics specific to the professional theatre environment.
This is a permanent seasonal full-time position (from mid-September to mid-May each year).
Roles and Responsibilities
Production Follow-up and Coordination
- Actively participate in production and technical direction meetings, ensuring effective communication between program leadership, workshops, and creative teams;
- Draft and distribute meeting minutes, highlighting issues that require special attention;
- Be present at key moments (preliminary and final presentations, fittings, load-ins, dressing room setups, prop transfers, CCM day);
- Ensure the efficient flow of information and oversee the tracking of material and technical resources by informing management of needs and materials used;
- Supervise the productions of second-year students in Acting and Interprétation, including coordinating fittings, shopping, alterations, and budget tracking, in collaboration with the heads of the Monument-National campus workshops;
- Maintain regular communication with program leadership regarding challenges, needs, and issues encountered by students during productions.
Communication, Supervision, and Coordination
- Foster clear and structured communication between students and workshops (set, paint, costumes, props), participating in joint meetings as needed;
- Supervise and support students in carrying out their workshop tasks—particularly in their first year—and assist in the division of tasks between assistants and designers;
- Keep schedules up to date and communicate any changes to coaches and the program director.
Costume and Scenic Resource Management
- Centralize and organize costume requests for non-production classes and exercises, in collaboration with the costume workshop and the costume department;
- Coordinate dressing needs and quick changes with the wardrobe supervisor;
- Manage makeup and hairstyling supplies required for scenography courses;
- Ensure the application of eco-responsibility principles in the management and maintenance of scenic materials and textiles.
Technical Follow-up and Pedagogical Support
- Carry out technical follow-up for costumes in central projects (Production Design and Technical Arts and Création et production programs);
- Participate in fittings for the exercice d’ensemble;
- Provide logistical and technical support during quick changes or dressing needs on stage;
- Reinforce and ensure compliance with safety regulations for the use of the FabLab, the dye room, and the costume workshop;
- Guide students in their technical projects (FabLab, sewing, assembly, etc.) and encourage their autonomy and sense of responsibility;
- Contribute to the continuous improvement of production processes and pedagogical practices within the scenography department.
Workspace Management and Maintenance (S52)
- Ensure the operational management of the S52 space, including scheduling, maintenance, and safety;
- Coordinate the use of dressing rooms when S52 is used for this purpose;
- Ensure the proper use and condition of the workshop’s basic equipment, communicating with the technical direction regarding any repair, maintenance, or reorganization needs.
Other Responsibilities
- Supervise the setup and strike of exhibitions presented in the entrance hall.
Profile and Qualifications
This position is intended for a structured, proactive individual with a strong sense of collaborative leadership. The Design Coordinator serves as the bridge between the pedagogical vision of the National Theatre School and the technical realities of production, directly contributing to the quality, safety, and consistency of student productions.
Required Qualifications
- Experience in scenic production management or a related field;
- Excellent communication and organizational skills;
- Ability to work collaboratively and manage multiple tasks simultaneously;
- Strong organizational abilities, with a capacity to set priorities and meet deadlines;
- A work approach that is both human-centered and pragmatic;
- Thorough knowledge of Microsoft Office (including Office 365 and Excel) and other database software;
- Bilingualism in written and spoken French and English.
